new shift ssv needing help with cash management!(self.starbucksbaristas)
submitted by iqueefkief
i’m about to start being a closer and i’m so anxious about balancing the drawers and doing the cash pull.
is there a way to know what the deposit is for the day before you count down the tills?
and what do i do if one of the drawers is under the base amount it should be?
i’m scared to ask!!

No, but there is a way to confirm it after you count the tills, but before you finalize the deposit.
1. Count all the tills and pull all the deposits in the system 2. From the cash management home page, go to "reports" 3. Select the second item from the list (it's been a while since i've closed so i don't remember what this item is called) 4. Check that the "system count" and "cash controller count" columns from today are within a few dollars of each other 5. If you're satisfied, go in and finalize the deposit
The numbers almost never match exactly because coinage is sometimes off by a few cents, and baristas sometimes miss a dollar here or there. But if the cash controller count says "$218.79" and the system count says "$238.84" then you probably missed a $20 when you cleaned out the drop boxes. You feel me? If the difference is <$5 I don't sweat it, but if it's more than that, you should recheck your tills.

You can actually check under custom reports on the computer when you’re on a shift/manager drawer and at the top I’m blanking on title but it’ll say something about cash report and it will have how much each till did on each means such as cash vs credit. When you scroll to the bottom it will say “cash due” and that’s how much money is due to the bank according to the till activity. I use this and as long as it’s a few dollars off it’s generally good. When it’s $20 and above then I know I’m missing a drop box somewhere has 20s in it

Don’t be! I was as well because this was my first time handling money in a job and didn’t want to mess up, but it’s okay. Mistakes sometimes happens and the money is insured lol.
Usually what I do when I close is I’ll count the safe before I move money so I know if someone else made a mistake before me, then I’ll break down three of the tills about 2-3 hours before we close and pull cash from those tills, balance the final drawer so that whenever I close my doors I don’t have to count the safe or move money around again. Occasionally, this doesn’t work 100% of the time and I’ll have to make a slight final adjustment to the last till but only by a $20 or so. Managers may or may not like this approach because technically for your individual safety everyone should be ringing in their own drawer, but I trust my baristas enough.
Don’t be nervous, be forgiving and give yourself enough time the first few times you do it to check your work. Over time, you’ll be more and more comfortable not double checking yourself and it’ll feel natural.

The deposit is only going to be able to be finalized at the end of the day. You can start dropping tills early, if your store does that. So you can set yourself up and take your time.
at the end of the night and you’re finalizing everything, you will be able to adjust the total so that you can keep the set amount in your tills and the safe.
Cash management can be very intimidating because of how sensitive a subject money handling is. Just make sure you ask questions and make sure you’re doing it right. And also communicate with your SM or other shifts if anything seems weird.

okay, so i balance all the tills and the safe to their set amount, but what if one of the drawers comes up short? say it’s supposed to be $200 and there’s only $175. are you supposed to balance that till using the cash that’s for the deposit? and if so, how are you making sure what you pull at the end of the day is accurate? i haven’t really used the cash management app much so i’m unsure how to see what the actual daily total was.

Exactly! At the end of the day, you’ll get a total. If anything is off, which will probably happen, you’ll just adjust what you are depositing. In the app there is an option to ‘adjust’ and it’ll usually ask for a reason and one of the answers is “par safe/tills.”
