Soon-to-be-shift here. Feeling overwhelmed by the tasks and how to juggle them successfully without forgetting something since it all seems to need to happen at once / weird intervals. 🫠🫠

Has anyone already made a Shift checklist for each ~daypart~?

Here is my PM checklist that I use :) We close at 9:00, but if your hours are different feel free to adjust!

PM SHIFT CHECKLIST
1:00-1:30ish
- Put your partners into positions
- Do your mid-day temperatures
- Start counting your four (or however many, we have 6 at my store) registers (if it’s busy and you are understaffed, don’t worry about this; it can always be done later!)
- Mid-day safe count (remember it takes 10 minutes to open door 2)

1:30-3:00

- run the play!! make sure you’re well stocked up, don’t forget about the cold brews!

3:00ish

- run your first tens

3:40/4:00

- Start your PM pull

4:30/5ish

- begin to run your halves

7:00

- PM temps
- PM Milk Counts
- last tens
-If you are receiving a truck that night, FIFO milks and clear BOH fridges for delivery

9:00

- count the safe
- Collect your last drawers
- Count your drawers
- Finalize Deposit
- Enter your safe count numbers
- Record the deposit slip in the blue book
- Deposit bag in safe
- Do final check
- Turn off lights and set alarm

IMPORTANT: Every wednesday and sunday (these are the days I have to do my inventory counts) night you have a count. this is found in the inventory management app on the ipod

I recommend writing down your cleaning tasks to start so that you can give tasks before or after 10s. Those checklists above are awesome! Never underestimate doing something early if you are closing. You can't always, but usually it will help you.

Also! Something really helpful that we just started using is the playbuilder. Not only does ot help organize,but It tells you good times to start on each task, though depending on your store you can flex that. For example,, we start dishes pretty early and usually bathrooms are clean by the time we get in for pm shift and then we just do a touch up before leaving.
I like to have the last person leaving before close to do sinks and drains before they leave because we slow down towards the end of night and only use certain sinks anyway.

You're gonna do great! It's overwhelming at first, but after a while you get a hang of it and then it's just muscle memory. You got this

4:30 - 5
when entering the store, i scan the conditions for the store walk

turn on ovens

turn off alarm

clock in

set the safe timer to open door 1

check the book to see important info anyone left for us and scan the DCR


when door 1 is ready to open, make sure the tills are parred correctly. then place them in their correct place and lock drop boxes

i like to use receipt paper for temps, milk counts etc. then write it in the book later


jot down how many rolls we have for each coin

record temps and do FOH milk counts

BOH milk counts. i do freezer first then the fridge (we only have one of each)

rotate milks to make sure the freshly delivered ones are in the back.


5 - 5:30
open store and turn on music.

unpack the daily order. (again on that receipt paper) while i’m unpacking it, i’ll scan our inventory to see what items we need. i’ve been doing it long enough that i know how much we need w/o looking at the pars.


5:30 - 6
adjust receipt

record temps and milk count

place order

morning safe count

change bathroom code. we’re a high incident store so we have keypad locks


6- 6:30
sometimes i’ll just assign baristas to a certain position. sometimes i’ll ask where they want to go. i try to rotate people so they’re not in the same position every single day.

send my bar barista on their 10 and cover for them. when my next person comes in I’ll have them slide over to bar while i relieve the other opener.


6:30-7

our fourth barista comes into and the openers had their 10s. we just restock everything and prepare for peak.

if it’s not busy i’ll pull 3 top and prepare a deposit bag and everything


7(or 7:30)-9(or 9:30)

PEAK



after peak it just depends how busy we are. lately it’s been kinda unpredictable. we’re not allowed to send partners on their break during peak.


once peak ends, i send my third barista on their 10. depending on the business, i’ll try to send one opener on their lunch if they have one. i’ll also start tasks at the time. i try to have them do it either before or after their breaks. sometimes we get a midday partner around this time, sometimes not. i just flex the play depending on our situation.


10-whenever i get off

just shift duties. i’ll help make backups. do 18hr pull, pull front register, deal with brinks, all while i’m front/warming.

when the midday shift comes in, i’ll fill them in on any important info like breaks, tasks and what not.

i’m the shift that does tips so on tuesday i’ll do that at the end.
